Lutheran World Federation Kenya- Somalia, Somalia Sub program is seeking to recruit a National staff for the following position;
JOB SUMMARY
The procurement clerk will support the procurement Office in procurement activities to ensure quality successful delivery of procurement goods and services.
DUTIES AND RESPONSIBILITIES
- Preparation of bid documents
- Receive Demand Forms (DF), record, and together with the Procurement officer, process DFs as per laid down regulations and policies.
- Assist in the preparation of Request for Quotation(RFQ) and Request for Proposal (RFP).
- Evaluation of bids
- Support the Procurement Officer in evaluation of bids, expression of interests in line with LWF procedures and process.
- Support in maintaining and audit trail for Procurement activities
- Assist the Procurement Officer in compiling documents for making payments to the suppliers and service providers.
- Ensure that invoices submitted to finances are well documented and has proper support documents.
- Ensure that the payment tracker is regularly updated.
- Ensure that the procurement Plans are regularly updated.
- Maintain an E-filling for all procurement related documents
- Support in Suppliers correspondence.
- Ensure that all suppliers and service providers queries are attended to on time.
- Follow up on contract performance and ensure adherence to lead time.
- To assume such other responsibilities as may be assigned to him/her by the Procurement officer.
QUALIFICATIONS AND SKILLS
- Bachelor’s degree/Diploma in supply chain management, procurement, field.
- Minimum of 2 years of work experience in a similar role.
COMPETENCIES
- Working knowledge of Project Management Cycle.
- Excellent communication, organization and presentation skills.
- Good analytical and problem-solving skills.
- Ability to work independently with guidelines and clear expectations.
- Proficiency in MS Word, Excel and other related programs.
- Ability to tolerate cultural, educational and religious diversity in the work place.
- Report writing skills.
